USANT: DATA PRIVACY STATEMENT

At the University of Saint Anthony (USANT), we value your trust. Whether you are a student, parent, employee, or stakeholder, you share personal information with us to make education and employment possible — from enrollment and academic records to employment and service information. Protecting this information is our responsibility. We are committed to keeping it safe, private, and used only for the right and lawful purposes in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations.

 

WHAT WE COLLECT

To deliver quality education, manage employment, and provide services, the University may collect and process the following types of personal information:

  • Basic personal details (e.g., name, birthday, address, contact information, civil status)
  • Academic or employment profile (student number, course/grade level, department, position, employment status)
  • Academic and employment records (grades, transcripts, performance evaluations, service records)
  • Attendance, timekeeping, and participation records
  • Government-issued IDs and numbers (SSS, PhilHealth, Pag-IBIG, TIN, PRC license if applicable)
  • Payroll and compensation details, including bank information and benefits data
  • Health or medical information submitted for welfare, safety, or employment purposes
  • Photos, videos, or other documentation of school- or work-related activities and events
  • Disciplinary records (if applicable)
  • Biometric, behavioral, or locational data collected through CCTV, IDs, or attendance systems
  • Online activity logs from official digital platforms (e.g., Google Classroom, Edusuite, LMS)
  • Other school- or employment-related documents necessary for compliance, administration, or reporting

USANT only collects information that is necessary for lawful, educational, administrative, and institutional purposes.

 

HOW WE USE YOUR INFORMATION
For Students and Stakeholders

Your information helps us manage academic activities, such as enrollment, evaluation, and certification (IDs, report cards, transcripts). We use your data to facilitate participation in classes, school programs, contests, and official events; to communicate announcements; and to ensure compliance with government and accrediting bodies such as DepEd, CHED, PRC, PACUCOA, and ISO. We may also process data for internal research, institutional planning, quality assurance, and lawful reporting.

 

For Employees

Your data enables us to process employment applications, manage personnel records, payroll, and benefits; track attendance and leave; conduct performance evaluations; and provide training and welfare services. We also use employee information for compliance with SSS, PhilHealth, Pag-IBIG, BIR, PRC, CHED, and DOLE requirements, as well as for audits, accreditations, and institutional improvement.

 

For Safety and Support

The University may process personal data to provide guidance, counseling, health, and safety services; to monitor campus through CCTV and biometric systems; to respond to emergencies; and to comply with applicable laws or government requirements.

 

For Events and Communications

We may document and promote institutional events through photos or videos, highlight achievements, and feature activities on official university platforms (e.g., website, publications, or social media), with appropriate consent when necessary.

 

WHO WE SHARE IT WITH

Your personal data may be shared only when necessary, lawful, and authorized, such as with:

  • Internal offices (e.g., Registrar, HR, Finance, Guidance, Payroll, and Administration)
  • Government and accrediting agencies (DepEd, CHED, PRC, DOLE, SSS, PhilHealth, Pag-IBIG, BIR, PACUCOA, ISO, MARINA, etc.)
  • External auditors, examiners, or accreditors (e.g., CHED, ISO, COA, PACUCOA, PAASCU, PRC, or other quality assurance bodies)
  • Attendance, timekeeping, and participation records

All recipients of your personal data are required to uphold appropriate safeguards and comply with the provisions of the Data Privacy Act.

 

YOUR RIGHTS UNDER THE DATA PRIVACY ACT

As a data subject, you have the following rights:

  • Right to be informed. To know what information is collected and how it is used.
  • Right to object. To withhold consent to certain uses of your data, except when required by law.
  • Right to access. To obtain a copy of your personal data held by the University.
  • Right to correct. To request correction of inaccurate or outdated information.
  • Right to erase. To request deletion of your data when it is no longer needed for lawful purposes.
  • Right to data portability. To obtain and electronically move, copy, or transfer your data securely for your own use, subject to technical feasibility and lawful grounds.

 

HOW WE KEEP YOUR DATA SAFE

USANT implements administrative, physical, and digital safeguards to secure your personal data and restrict access to authorized personnel only. Security measures include controlled access, staff confidentiality obligations, and secure storage of physical and electronic files.

In the event of a security incident or data breach, the University’s Breach Response Policy ensures that appropriate and immediate action is taken to contain the issue, investigate the cause, notify affected individuals when necessary, and implement corrective measures to prevent recurrence.

 

CAN YOU SAY ‘No’ TO SHARING INFORMATION?

Yes. You may decline to share certain information or withdraw consent for specific uses. However, some personal data may still be required by law or necessary for legitimate educational, employment, or administrative purposes.
